No. Paperless One installs on your server --
whether it resides in-house or at your hosting provider. You
pay a one-time fee plus optional annual support fees
and/or fees for training.
Yes. The Paperless One forms can look like word-processing documents or they
can look like spreadsheets. They can contain "header" inputs and one or more
series of "line item" inputs. They look like paper but do a whole lot more
since all the inputs defined on the forms are reportable using Paperless One's built-in reporting system.
Yes. In these cases the electronic form behaves more like a
"Control Document" that lists files associated with it. In these cases
a file check-in and check-out process can be added to give the form greater
power.
Not at all. If a document needs to stay in Microsoft Word format, for
example, it can simply be attached to a Paperless One form in the same
way one would attach files to an email.
Yes. The Paperless One system is an "open architecture" system. Data can be
exported using built-in wizards. And data can be exported/imported
in real-time with file push/pull techniques by using the Aestiva Exchange utility.
Yes. For example, a link on a Paperless One form can be
used to create and/or pass information to another Paperless One form.
Paperless One tools can be used to take information from a selection of
forms and use it to create a new form. At other times, a single Paperless
One form might be split into multiple Paperless One forms.
Yes. Electronic forms can be reduced in size, and for smaller
hand-held devices, an external system called Aestiva TouchTop
is available for capturing input.
Yes. Paperless One can be configured to alert users via email when
they need to approve and/or review a form, when they need to take
an action on a form, and/or when they are invited to collaborate on a form.
Paperless One includes a "Proxy" capability whereby users can access the
accounts of other users provided they have been given the authority to do so. In these cases an audit trail is kept that logs all activity so there is no confusion regarding who did what.
Yes, an advanced reporting module is included with all Paperless One
solutions. The module allows you to create an unlimited number of reports
and provide different users access to those reports.
It compares well because it is easy-to-use, powerful and integrated. Unlike external reporting systems, the integrated reporting system
has access to user-security information and data in the Paperless One environment. Reports can be automatically limited based on a user security detail, and options can utilize data stored inside Paperless One.
Yes. Paperless One is the ideal platform for complying with
